Clinic software for reception, doctors, and cashier

BOC for clinics is clinic management software that runs each patient visit from booking to payment: reception books the visit, the doctor works the queue in Dr. Room, and the cashier closes the bill. Patient files, vitals, prescriptions, insurance, and daily reports share one record on the web and in the BOC app.

A clinic day in BOC

The day starts on the calendar. Reception books each consultation from the patient's Customer File with Add Appointment: the service, the doctor, the room, and a free time, with full times crossed out. When the patient arrives, one tap sets the visit to Waiting, and a live waiting clock starts on the cashier card and in Dr. Room.

The doctor opens Dr. Room and sees three lists: Today appointments, Waiting outside now, and Done today. Get in room starts the visit and offers the vitals form for weight, height, blood pressure, blood sugar, and temperature. The Clinical snapshot shows insurance, blood type, allergies, previous surgeries, diseases, and medicines, so the doctor reads the history before writing a note or a prescription.

When the doctor presses Done, the visit is ready at the cashier with due, paid, and remaining. Reception takes the payment, prints the receipt, and books the follow-up with Set Next Appointment while the patient is still at the desk.

Patient files, prescriptions, and insurance

Every patient has one Customer File with Overview, Appointments, Images & Files, Notes, Prescriptions, Insurance, Diseases & Medicine, and Contracts. Lab results and referral letters go under Images & Files with the date and the name of the person who added them. Prescriptions are numbered, printed on a clean clinic sheet with the doctor's name, or sent on WhatsApp with a link to the PDF.

Insurance is one switch in Config. Each policy sets the patient share, the maximum insurer amount, the covered services, and whether a pre-approval is required. At the cashier the patient pays their share, and the insurer's share waits under Outstanding to collect until you mark the claim collected.

Your team, your branches, your numbers

Six ready roles, Owner, Manager, Doctor, Cashier, Call Center, and Staff, decide who opens which screen, and you can build your own. A doctor can work with Own patient files only while reception books for the whole clinic. The dashboard shows revenue, expenses, visits, and new clients by doctor, service, and room, and Download report saves the Financial Performance Report in Excel for your accountant.

Clinics with several locations run every branch in one account, each with its own calendar, cashier, and dashboard. When a patient moves to another branch, BOC checks each upcoming visit against the new branch before it moves.

How it works in BOC

  1. Set up services and rooms. In Services and Pricing, add your consultations and procedures with their price, doctor, and room.
  2. Add your team. Add each doctor and receptionist in Team with a role. BOC emails each person a login password.
  3. Switch on the clinic tools. In Business Setup, Config, turn on Dr. Room, Prescriptions, Visit Vitals, and Insurance as your clinic needs them.
  4. Book and receive patients. Book from the patient file, then set the visit to Waiting when the patient arrives.
  5. Treat and close the visit. The doctor works in Dr. Room and presses Done. Reception takes the payment and sets the next appointment.

Everyday challenges

Reception keeps asking who is next

Waiting, In Room, and Done show on the calendar, the cashier, and Dr. Room at the same moment, with a live waiting time for every patient.

The doctor needs the history before the first word

The Clinical snapshot in Dr. Room gathers allergies, previous surgeries, diseases, medicines, and insurance on one card.

Follow-up visits slip away

BOC offers Set Next Appointment as soon as the room status changes, and again on the cashier card, so the patient leaves with the next date.

Insurance money is hard to follow

Each insured bill is split into the patient share and the insurer share, and Outstanding to collect lists every claim until it is paid.

Questions

What does BOC do for a clinic?

BOC runs the whole patient visit: booking, the waiting queue, Dr. Room with vitals, notes, and prescriptions, the patient file, insurance, and the cashier. General and specialist clinics use the same screens and switch on the tools they need in Config.

Can patients book appointments online?

Your team books each visit in BOC, from the front desk or the BOC app. The booking window shows free and full times, so a phone call or a WhatsApp message becomes a confirmed visit in a few clicks.

Can doctors write prescriptions in BOC?

Yes. Doctors write numbered prescriptions from Dr. Room or the patient file, with dosage, frequency, and duration for each medicine. Print gives a clinic sheet with the doctor's name, and WhatsApp sends the patient a link to the PDF.

Does BOC handle insurance billing for clinics?

Yes, once you switch insurance on. BOC splits each insured bill between the patient and the insurer, tracks pre-approvals per visit, and lists every insurer bill under Outstanding to collect until it is paid.

Can a doctor see only their own patients?

Yes. Give the doctor's role Own patient files only. Reception and managers can keep All Files, so the desk still books for every doctor.

Does BOC work on a phone?

Yes. The BOC app for iPhone and Android opens the calendar, Dr. Room, the cashier, and patient files with the same live data as the web.

Can I run several clinic branches in BOC?

Yes. One account holds every branch, each with its own calendar, cashier, and dashboard. Managers switch branch from the account menu.
