Appointment booking for clinics and salons

BOC's appointment booking is how your team adds a visit, on the web or in the BOC app: pick the service, the room or device, the staff member, and a free time, and the visit lands on the calendar with its price. The date and time window shows the session length, the booking limit, and the allowed hours, and crosses out times that are already full. After that, the same visit moves through waiting, in the room, done, paid, paused, or postponed, and clients who arrive without a booking are added at the cashier as extra sessions.

Rasha Ali’s Hydrating Facial in the Facial Suite opened from the calendar, and its Select Date & Time window: the 30 min, Max 1, Everyone, All days, and 07:00–22:00 chips, the October calendar, and the afternoon start times with 16:00 selected.

What it does

Open a client file and press Add Appointment. Choose the service first. If the client already owns a package for that service, BOC offers the package, with its name, its sessions, and its price. Then choose the resource and the staff member; when a service has a fixed staff member, BOC fills it in and says so. Variants such as Full Body or Underarms appear with their price and a session number, and each variant keeps its own session count. The visit length comes from the service or the resource, with separate session times for men and women when they are set, and BOC stops the same client from being booked twice for the same service, room, staff member, and variants.

Press the date field and the Select Date & Time window opens. Small chips at the top repeat the rule for this booking, for example 30 min, Max 1, Everyone, All days, and 07:00–22:00. Pick a day, then a start time under Morning or Afternoon. Start times come every 15 minutes by default, and the ones already taken for that staff member, room, or service are crossed out. Press Confirm Appointment, then Add Appointment, and BOC asks you to confirm the appointment price.

BOC checks the booking again at the moment you save, so two receptionists booking the same slot at once end up with one visit. The new visit appears on the calendar straight away, in its service or resource color.

The same booking works in the BOC app for iPhone and Android, with the rule chips and the crossed-out times. When a client walks in without a booking, Add Extra Session at the cashier records the visit and takes the payment; the button is switched on in Config, and the visit appears on the client file as an extra session. Roles decide who books and who changes what: Add Appointment, Pay, Edit Date, Edit Service, Edit Staff, Edit Variants, and Patient are separate permissions, so a call center can book while only the people you choose move a date or change the staff member.

Pause, postpone, and the next visit

Plans change, and the appointment drawer keeps the visit. Appointment Status has three buttons. Paused asks “Are you sure you want to pause this appointment?” and then sends the visit to the paused list with its price; press Paused again to make it Available. Postponed opens Postpone Appointment, where you choose a new date and time; BOC keeps the old visit as Postponed and creates the new one at the later time.

The Room Workflow buttons, Waiting, In Room, and Done, follow the visit through the day and are shared with the Dr. Room and the cashier. After a room workflow update, BOC offers Set Next Appointment, so the return visit is booked before the client leaves. The cashier card has the same Set Next Appointment action at checkout.

VIP price and VIP-only times

In Services and Pricing, any price row can be switched to VIP, so the same service carries a VIP price next to the regular one. When the desk books at a VIP price, the visit is marked VIP: the drawer shows a VIP Appointment badge, the calendar tooltip shows VIP, and the client file lists VIP: Yes on that visit.

In Booking Settings, a Booking Capacity rule with VIP customers only switched on counts VIP visits only. That gives VIP clients their own places at the same times, for one service, one room, or one staff member, while regular bookings follow the other rules. The dashboard's VIP Performance block then shows the VIP appointments, their total, and the top staff, service, and resource for VIP visits.

Price, discount, and payment on the visit

The Billing & Discount tab of the drawer shows the amount due, what was paid this session, what remains, and the billing history with who collected each payment and by which method. Print and Download give the visit bill as a PDF. Staff can press Request a Discount and enter a Discount Percentage, and BOC shows the Total After Discount; the base price stays until a manager accepts it. Because the price lives on the visit, the cashier, the dashboard, and the client file all read the same numbers.

How it works in BOC

  1. Open the client file. Find the client under File and press Add Appointment.
  2. Choose service, room, and staff. Pick the service, then the resource and the staff member. Packages the client owns appear first.
  3. Pick a free time. In Select Date & Time, choose the day and a start time. Full times are crossed out.
  4. Confirm the price. Press Add Appointment and confirm the appointment price. The visit appears on the calendar.
  5. Follow the visit. Use Waiting, In Room, and Done as the client moves through the clinic.
  6. Book the next one. Use Set Next Appointment after the visit, or Paused and Postponed when plans change.

Sara Haddad’s Appointments tab: Done, Postponed, and Available laser visits, each with the staff member, resource, cost, paid this session, remaining, branch, and VIP Yes, and a 15% discount marked Pending.
Rasha Ali’s Hydrating Facial opened from her file on a phone: the date and time, the service, the Facial Suite, Nour Ibrahim as the staff member, and the Room Workflow and Appointment Status buttons.

Questions

Does BOC have online booking for clients?

Your team books each visit in BOC, from the desk or the BOC app. The booking window shows free and full times, so a phone call or a WhatsApp chat turns into a confirmed visit in a few clicks.

Can BOC stop double bookings?

Yes. BOC checks the staff member, the room or device, and the service against the visits already on the book, and crosses out full times in the booking window. If a time fills while you book, saving stops with “This time is full. Choose another time.”

How do I reschedule an appointment in BOC?

Open the visit, press Postponed, and pick a new date and time. BOC keeps the original as Postponed and books the new time. You can also drag an open visit to another slot on the calendar.

Can a service have a VIP price?

Yes. Switch on VIP on a price row in Services and Pricing. Visits booked at that price are marked VIP Appointment.

Can I add an extra session for a client without a booking?

Yes. Switch on Enable Add Extra Session in Config, and the cashier gets an Add Extra Session button. The visit is recorded and paid at the cashier, stays off the calendar, and appears on the client file as an extra session.

What is the difference between Paused and Postponed?

Paused keeps the visit on the paused list until someone rebooks it, and its time opens for other clients. Postponed moves it to a new date and time that you choose right away.

Can I book the next visit at checkout?

Yes. Set Next Appointment is on the cashier card and in the prompt BOC shows after the room workflow, so the client leaves with the next date.
