Clinic cashier and daily income board

BOC’s cashier is the front-desk board where your team takes payment for the day’s visits, with amount due, paid, and remaining on every card, on the web or in the BOC app. Extra sessions, product sales, split payments, live alerts from the doctor’s room, and the day’s expenses sit on the same screen, so the totals at the top always show what came in and what is still to collect.

The cashier board for 26 Oct 2026: 288.00 USD due, 111.75 USD paid, 45.00 USD in expenses, and 66.75 USD net after expenses, above unpaid cards for Jad Karam, Mohammad Ali, and Hala Mohamed with their room status.

What it does

Open Cashier and the board loads today’s visits for your branch; roles with View Past Cashier Days pick another date to review an earlier day. The summary at the top shows Amount Due, Paid (one figure per currency when a second currency is on), Expenses, and Net after expenses, which is what was paid minus today’s expenses. Below it, each visit has its own card with the customer, the staff member, the service with any Package or Treatment plan badge, marks for EXTRA SESSION, VIP, and a pending, rejected, or applied discount, the room status buttons Waiting, In Room, and Done, a payment status badge, and the amount due, paid in each currency, and remaining.

Cards are ordered so the money still to collect stays on top: every Unpaid card first, then Partial, then Paid, newest first inside each group. The Waiting and In Room counters in the header filter the board, and the room status is the same one the doctor sees in Dr. Room, so reception knows who is still inside before calling the next patient.

Click Pay to open the payment drawer. Choose the payer (Personal / the customer, or Insurance with its company and policy), the payment method (Cash, Visa, or Wallet), the amount, the currency, and an optional reference. Add another payment option splits one bill across methods or currencies, the drawer keeps Total and Remaining up to date as you type, and Paid and Unpaid set the visit’s status, with a Void icon on a posted payment. Print and download give the patient a PDF receipt on A4 or Thermal 80mm paper, with services and products on one invoice or each on its own, and the Billing & Discount tab holds the billing history and the Request a Discount form.

Extra sessions, the next visit, and expenses by day

Add Extra Session is for a patient who came without a booking and pays today. Pick the customer file, the service, the staff member, and the resource if needed, and BOC adds a cashier-only visit dated today. It stays off the calendar and shows on the customer file as an extra session. The button is on by default and follows Enable Add Extra Session in Business Setup → Config.

Set Next Appointment sits on every visit card, so the receptionist books the following session while the client is still at the desk. Once it is booked, the card shows the date and the button becomes Edit Next Appointment. On the same card, Assign staff changes who did the visit, Buy product adds a product to the bill, View opens the appointment, and Notes keeps a note on that visit.

Expenses opens the day’s expense list with a daily total per currency and per method. Add Expense takes an expense name you can reuse, one or more payment lines with a method, an amount, and a currency, and a note, and each entry shows who recorded it. The second tab, Internal Product Use, records products used in treatments. The list prints or downloads as a PDF, and the dashboard reads the same entries in Expenses by Day.

Product cards and the day summary

A product sale, whether it comes from Buy product on a visit or from Products & Inventory, appears on the board as its own card with the customer, the staff member who sold it, each product with its quantity, and due, paid, and remaining. If the seller was left empty, the card reads Unassigned and the assign button sets the right staff member, so the sale counts for them. From the same card you take payment or return a product, with Return all or Return quantity.

View more under the summary opens the full day per currency: paid, expenses, and net after expenses, then a total after deducting expenses converted at today’s official rate, the product sales, and the remaining amount still due in the main currency. It is the figure a manager checks before the drawer is closed for the night.

Doctor Room alerts, permissions, and the BOC app

The Doctor Room alerts panel on the cashier tells the desk what happens in the room as it happens: a patient called into the room, sent back to waiting, or done, with Collect payment when money is still due, a visit finished when the room is released, a price the doctor updated from the old amount to the new one, and a Dr note left for the cashier. Each alert clears on its own or with Clear all, and the appointment itself stays as it is.

Every part of the board follows team permissions. View Amount Due, View Paid, and View Summary decide which figures a role sees. Edit Pay takes a payment, marks a visit unpaid, or refunds it, Edit Paid changes the price after a visit is done, Undo Done Appointment reopens a finished visit, and Edit Past Cashier changes visits after the clinic day is closed. Add Extra Session, Assign Staff, View Expenses, and Manage Expenses cover the rest of the desk.

The cashier runs in the BOC app as well. From a phone or tablet, the desk takes Cash, Visa, or Wallet payments in either currency, splits a bill, bills insurance, requests a discount, prints or shares the receipt PDF, adds extra sessions, notes, and expenses, sells and returns products, assigns staff, sets the next appointment, filters by Waiting and In Room, and follows the Doctor Room alerts.

  6. Close with expenses. Enter the day’s expenses and read Net after expenses at the top of the board.

View more on the cashier: paid, expenses, and net after expenses in USD and in LBP, the total after deducting expenses at 1 USD = 89,500 LBP, 36.00 USD of product sales, and 176.25 USD still remaining.

Questions

Does BOC have a cashier for clinics?

Yes. The Cashier screen lists every visit of the day with amount due, paid, and remaining, and takes cash, Visa, wallet, or insurance payments. It also holds extra sessions, product sales, and the day’s expenses.

Can a patient pay part now and the rest later?

Yes. Post the amount the patient pays today and the card turns Partial with the remaining balance. On the next visit you pay the remaining balance, and earlier payments stay posted.

Can I split one bill between cash and card?

Yes. In the payment drawer, Add another payment option adds a second line with its own method, amount, and currency. The drawer shows the total and what remains as you type.

How do I take payment for an extra session?

Click Add Extra Session and choose the customer file, the service, and the staff member. BOC creates a visit for today on the cashier, keeps it off the calendar, and records it on the customer file.

Can the cashier record daily expenses?

Yes. Expenses on the cashier adds each expense with a name, payment lines, and a note. The board subtracts them from what was paid to show Net after expenses.

Can I print a receipt?

Yes. The payment drawer prints or downloads a PDF receipt on A4 or Thermal 80mm paper, with services and products on one invoice or each on its own. Product sales also have their own product invoice.

Can insurance pay part of a visit?

Yes. Choose Insurance as the payer and pick the policy. BOC shows the patient and insurer shares, the patient’s share is taken on the same card, and the insurer’s share goes to the insurance desk to collect; if the insurer pays part right away, enter it in Insurance amount collected now.

Can I use the BOC cashier on a phone?

Yes. The BOC app has the full cashier: payments in either currency, split bills, insurance, discount requests, receipts, extra sessions, expenses, product sales and returns, and the next appointment. The Doctor Room alerts show in the app too.
