Clinic accounting, receipts, and profit reports
BOC’s accounting tools turn the payments and expenses your team records at the cashier into PDF receipts, a profit statement, and an Excel financial report for your accountant, on the web or in the BOC app. Every payment keeps its payer, method, currency, and reference, and every expense keeps its name, payment lines, and the person who entered it.
What it does
Accounting in BOC starts at the cashier. Each payment is saved with the payer (the customer or insurance), the method (Cash, Visa, or Wallet), the amount, the currency, and a reference, and a payment in the second currency also keeps the rate it was taken at. From the payment drawer you print or download a PDF receipt, on A4 or Thermal 80mm paper, with its receipt number and issue date, who it is billed to, the services and products with their prices, the payment lines with method, amount, reference, and date, and the due, paid total, and remaining. The header carries the clinic’s details and its tax number when one is saved, and product sales have their own product invoice.
Expenses are entered on the cashier with an expense name you can reuse, one or more payment lines with a method, an amount, and a currency, and a note, and each entry shows who recorded it. On the dashboard, the Expenses card splits the total into cash, Visa, and wallet. Click to view daily breakdown opens Expenses by Day: Today, Week, Month, Year, or a range, one row per date with the number of entries, the amount in each currency, and the cash, Visa, and wallet columns, plus a search by expense item such as supplies or rent. The day’s expense list and Expenses by Day both print or download as PDF.
View profit, under Total of Available on the dashboard, opens the money statement for the period you picked: Upcoming unpaid, Still to collect, Internal Product Use, Amount collected with How it was collected (Cash, Visa, Wallet, and Insurance when insurance is on), Product profit, Expenses, and Net profit. The owner reads in one window whether the period earned more than it spent.
The report your accountant opens
Download report on the dashboard saves an Excel workbook (.xlsx) headed Financial Performance Report, for the period and filters you have on screen. The Summary sheet carries the clinic details, the reporting period, revenue, the payment methods summary with insurance and other payments, total revenue, expenses, the net result, and the exchange rate when a second currency is set. The Daily sheet gives cash, Visa, wallet, insurance, expenses, and net after expenses for each day in the main currency.
The Payments sheet lists every payment with the customer, the appointment number, the method, the amount in each currency, the original amount and original currency, the reference, the branch, and when it was paid. The Expenses sheet lists every expense with its date, description, amount, method, branch, notes, and who recorded it. When Products & Inventory is on, the workbook adds Products, with cost and profit for each sale, Internal Product Use, and Waste sheets, and it always ends with By Staff, By Service, and By Machine, each with visits and totals per currency.
Because the workbook is built from the same records as the cashier and the dashboard, the accountant’s totals match what the front desk saw on the day. Download Dashboard controls who exports the workbook, Print Dashboard who prints the expense reports, and View Dashboard Sales and View Dashboard Expenses who sees the money on screen, so only the people you choose handle the clinic’s figures. The same workbook, for all branches, opens the Date Range Export in Your data.
Two currencies in the books
With a second currency set in Business Setup → Config, BOC fills the official daily rate from the official market rate and shows it on the cashier and dashboard, for example 1 USD = 89,500 LBP. The cashier summary shows paid, expenses, and net after expenses for each currency, and View more converts the day into the main currency at today’s rate. Expenses can be paid in either currency, at today’s official rate when they are saved, and the Excel report keeps the original currency of every payment beside its converted amount.
The BOC app carries the same books. On a phone, the desk prints or shares the receipt PDF, records expenses with their payment lines, and the dashboard opens View profit and Download report, which saves the same Excel workbook.
