Spot checks and face checks for staff on duty

BOC's spot checks let a manager ask chosen team members to show, within a set time, that they are at the branch, from the Spot checks tab in HR on the web or from HR in the BOC app. You see who is On duty, Off duty, or On leave before you send, pick Floor check, Opening check, Closing check, or your own reason, and give 15, 30, or 60 minutes or an exact end time. Each person answers with a face check, a selfie and their location from My HR, and the Checks list shows Waiting, Passed, Failed, or Expired with the notice status.

Spot checks: the time of the list, all eight team members On duty and ticked under Select all on duty, then Ends at with the 15, 30, and 60 min buttons and the time 30 minutes ahead.

What it does

Open HR and choose Spot checks. The page lists everyone in the branch with their status at that moment, in the branch's time: On duty, Off duty, or On leave, taken from the Duty roster, including night shifts, and from approved leave. People on duty are already ticked, and Select all on duty ticks them again in one tap. A check goes to up to 30 people at a time, all on duty: if you tick someone who is off duty, BOC answers This person is off duty. Choose someone who is on duty.

Set the deadline under Ends at with 15 min, 30 min, or 60 min, or pick an exact date and time. Choose a reason, Floor check, Opening check, or Closing check, or write your own of up to 180 characters, then press Request a check. Each person receives a notice on the phone that opens My HR. When someone already has an open check, BOC sends the notice again for that same check, so each person answers one check at a time. A spot check is a presence check, and it creates no deduction.

Managers can also send checks away from the desk. In the BOC app, HR has Spot checks: pick the person, tap 15, 30, or 60 min or choose a date and time, add a reason, press Request spot check, and read that person's Verification history on the same screen.

Face check and video for HR

A face check is how a team member shows they are really at the branch. When a check arrives, they open My HR, in the BOC app or on the web from their phone, and tap Respond to check. The front camera opens for a picture of their face, and BOC sends it with the phone's location, then compares that location with the branch geofence and the accuracy you set on Pay rules before the deadline. A good answer shows Check received.

Each check takes one answer. An answer from outside the circle shows You are outside the branch geofence. and the check becomes Failed, and a late answer finds The verification challenge expired. The selfie taken for a spot check is used for that check and then deleted, while the result stays in the Checks list and on the employee's HR file. Staff answer once Clock in and clock out is on in Business Setup and the branch has its geofence saved.

My HR also has Video for HR. A team member records a short video of themselves with the phone camera, or chooses one from the phone, an MP4 of up to 20 MB, and sends it to HR. The video is stored privately in that person's HR file, for them and the managers who handle HR requests.

Following each check

The Checks list shows the branch's latest 50 checks, each with the employee's name, a status of Waiting, Passed, Failed, or Expired, the Ends at time, and the Notice status, such as Sent, Delivered, Not delivered, or Not sent, so you know whether the phone notice went out.

On the employee's HR file, the Verification section keeps the history of their checks with the dates. The Spot checks tab, sending a check, and the Verification section all follow the Face Verification permission, so you decide which managers use them. The Owner role has it.

Spot checks fit with the rest of HR. The roster says who should be at work, GPS attendance records when they arrived and left, and a spot check confirms they are still at the branch in the middle of a shift.

How it works in BOC

  1. Open Spot checks. In HR on the web, or HR in the BOC app, open Spot checks to see who is on duty, off duty, or on leave right now.
  2. Choose the people. Keep the ticked on-duty staff, untick anyone you want to leave out, or use Select all on duty, up to 30 people.
  3. Set the deadline. Tap 15 min, 30 min, or 60 min, or pick a date and time under Ends at.
  4. Give a reason. Choose Floor check, Opening check, or Closing check, or type your own, then press Request a check.
  5. Staff answer with a face check. In My HR they tap Respond to check, take a selfie, and share their location before the deadline.
  6. Read the result. The Checks list shows Waiting, Passed, Failed, or Expired, the end time, and the notice status, and the Verification section keeps each person's history.
