Staff leave requests, permissions, and advances

BOC's staff requests let each team member send nine kinds of HR request from My HR, on the web or in the BOC app for iPhone and Android: leave, exit permission, late arrival, early leave, attendance correction, advance, entitlement payout, general request, and a dispute about a deduction. A manager with Manage HR Requests approves or rejects each one with a reason, on the web or in the app, and the employee gets a notice with the decision. Approved leave comes off the leave balance, and approved leave and time off keep new bookings away from that person.

What it does

My HR is the HR tab in each team member's own staff file, on the web and in the BOC app for iPhone and Android. It gathers Summary per currency (Available now, Not due yet, Paid, Remaining), My requests, Late arrival / Early leave, Leave & balance, Schedule, Deductions & disputes, Payments & payslips, and Contracts. Under My requests, New request lists nine types: Leave, Exit permission, Late arrival, Early leave, Attendance correction, Advance, Request entitlement payout, General request, and Dispute a deduction.

Each type opens a short form with the fields it needs. Leave asks for the leave type, start, end, and a reason. Exit permission asks for the day, the From and To times, and details. Late arrival and Early leave ask for the day, the time, and a reason. Attendance correction asks for the current time, the corrected time, and a reason. Advance asks for the amount, the currency, and a reason. Request entitlement payout shows what is Available now and Not due yet, takes an amount up to what is available, and keeps the pay date as it is. General request takes details, and Dispute a deduction names the deduction and explains why. Text fields hold up to 2,000 characters, and forms such as leave, late arrival, advance, and general request take an optional attachment: a PDF, a JPG, PNG, or WebP image, or an MP4 video of up to 5 MB.

The employee follows each request in My requests with its status, date, and the manager's decision note, and presses Cancel request while it is still Pending. Leave & balance shows the days left for each leave type and year, and Deductions & disputes lists each deduction with its amount, status, and date. The same page holds Clock in, Clock out, and Respond to check for the face check, and Video for HR, where a team member records a short video in the app or uploads an MP4 of up to 20 MB and sends it to HR.

Approve or reject with a reason

Managers work from the Requests tab in HR, which comes with the Manage HR Requests permission and covers the branch they work in. Counters show On this page, Pending, and Approved, and the filters switch between All, Pending, Approved, Rejected, and Cancelled, or one request type. Open a card to read the dates, times, amount, details, and the day it was sent; the attachment opens from the card, and an MP4 video plays right there. The queue refreshes when a new request arrives, HR home counts Pending requests, and each manager of the branch gets a notice in the inbox and a push alert in the app that a team request is waiting.

Press Approve or Reject, choose a reason (Approved as requested, The dates work for the branch, The leave balance covers these days, The leave is longer than the remaining balance, The dates overlap a booking, or Details are missing), add a note, and press Save decision. A request is always decided by someone other than the person who sent it, and the employee gets a notice that it was approved or rejected. In the BOC app, managers decide the same way from Requests in HR or from the employee's HR file, with the same reasons, note, and Approve anyway switch.

When a leave overlaps existing bookings, BOC tells you how many. Turn on Approve anyway to keep the leave and those bookings; the leave balance check still applies. Videos sent with Video for HR appear on the employee's HR file for the managers of that branch.

What an approval changes

Approval does the follow-up work. Approved leave is taken from the balance, and the calendar keeps new bookings away from that person on those days. An approved exit permission keeps bookings away between its From and To times, an approved late arrival keeps them away until the arrival time, and an approved early leave keeps them away after the leave time. An approved late arrival or early leave also recalculates that day, so the matching deduction is waived.

An approved dispute cancels the deduction, or credits it back if it was already paid. An approved advance can then be paid from Pay an employee by someone with the Pay Advance permission, up to the amount that was approved.

Leave types and balances

You set leave entitlements on the Pay rules tab. Choose Leave entitlement, then Annual, Sick, or Unpaid, the number of days, and a start date, for the whole branch or for one employee. These are the leave types staff see in their form. BOC counts the days from start to end and checks the remaining balance for that year when the request is sent, and again when it is approved.

How it works in BOC

  1. Set up leave types. On Pay rules, add a Leave entitlement of Annual, Sick, or Unpaid days for the branch or for one person.
  2. Open My HR. The employee opens the HR tab in their own file, on the web or in the BOC app.
  3. Send the request. They choose a type under New request, fill in the short form, add an attachment if needed, and press Submit.
  4. Review the queue. In HR, open Requests, filter by Pending, and open the card to read the details and the attachment.
  5. Decide with a reason. Approve or Reject, choose a reason, add a note, and press Save decision, on the web or in the app.
  6. The employee sees the answer. The status and the decision note appear in My requests, and the employee gets a notice.
Leave types come from Pay rules: Leave entitlement with Annual leave and 15 days for this branch from 26/10/2026, the balance a leave request is checked against, above Save pay rule and the rules in effect.

Questions

Can staff request leave from their phone in BOC?

Yes. In the BOC app for iPhone and Android, or on the web, they open My HR, choose Leave under New request, pick the leave type and dates, add a reason, and submit. Managers see it in Requests with a notice, and the employee follows the status in My requests.

What can employees request besides leave?

An exit permission, a late arrival, an early leave, an attendance correction, an advance, an entitlement payout, a general request, or a dispute about a deduction. Each type has its own short form, and many take an optional attachment.

Who approves staff requests?

A manager whose role includes Manage HR Requests, for requests from their branch. Every decision carries a reason, and a request is always decided by someone other than the person who sent it. Managers decide on the web or in the BOC app.

Can a manager approve leave that clashes with bookings?

Yes. BOC shows how many bookings the leave overlaps. Turn on Approve anyway to keep the leave and those bookings; the balance check still applies.

Does approved leave block the calendar?

Yes. Approved leave keeps new bookings away from that person on those dates, and an approved exit permission, late arrival, or early leave does the same for those hours. The spot-check list also shows a person on approved leave as On leave.

Can an employee cancel a request?

Yes, while it is Pending. Cancel request sits on the request in My requests, and the manager's queue then shows it as Cancelled.

Does the employee see why a request was rejected?

Yes. Every decision carries a reason and a note, and both appear on the request in My requests, along with a notice to the employee.

Which files can staff attach to a request?

A PDF, a JPG, PNG, or WebP image, or an MP4 video, up to 5 MB each. Managers open the attachment from the request card, and a video plays on the card itself.
