Payroll, pay rules, and staff payouts

BOC's payroll is the pay side of HR: base pay and payday for each employee, pay rules that turn lateness, early leave, and overtime into amounts, adjustments approved by a second person, and payouts in USD or LBP. Everything a person is owed or owes builds up in one ledger with commission, bonuses, overtime, advances, and deductions, and Reports exports it as CSV. Managers work on the web or in the BOC app for iPhone and Android, and each employee follows their balance in My HR.

The Pay rules tab with Overtime chosen: a rate of 30.00 for This branch, the currency, a cap, and the start date, under the worked examples such as (60 ÷ 60) × 30.00 = 30.00, with Save pay rule and the rule in effect below.

What it does

Each employee's pay starts on the Entitlements tab. Choose the person and the action Base pay and payday, then set the Basis (Monthly, Weekly, or Daily), the Cycle, the Amount, the Payday from 1 to 31, the Timezone, the currency in USD or LBP, and the start date. Basis is how the wage is measured and Cycle is how often it is paid, so a daily wage can still be paid once a month. The payday decides when commission and other entitlements fall due, and the wage gives the day's pay that percent tiers use. The same tab holds Commission rules and a Product goal.

Everything a person earns or owes lands in one ledger: salary, commission, bonus, overtime, advances, advance recoveries, and deductions, each with a status such as Proposed, Approved, Waived, or Void. My HR and the payout screen split the balance into Available now and Not due yet. On each employee's HR file, managers with View Payroll open the Entitlements, Deductions, Advances, Commissions, and Products sections, and HR home counts the Payouts due for the branch.

Adjustments on the employee's HR file asks for a deduction or extra pay with a reason. Choose the Action (Propose deduction, Approve, or Recover advance), the Kind (Deduction, Bonus, or Overtime), the amount, the currency, and a reason such as Late arrival, Missed shift, Agreed bonus, Overtime hours, or Advance recovery, with an optional note. A proposed line counts once it is approved, and a second person approves it: the person who proposed it may approve it only when the owner is the clinic's sole payroll editor. A recovery stays within the advance that was paid, and the employee gets a notification at each step.

Pay rules with a worked example

The Pay rules tab turns attendance into money. Choose the Kind (Lateness, Early leave, Overtime, Geofence, or Leave entitlement) and apply it to This branch or to one employee. For lateness and early leave, pick Linear or Tiers under Time rule, set Grace minutes and a Rate, and set a Cap so one bad day stays within a limit. Tiers are written as minutes and an amount, such as 10:5, 30:15, 60:50%, where a percent is a share of one day's pay, and the highest tier reached after the grace minutes applies. Overtime takes an hourly rate, and Leave entitlement sets the days of Annual, Sick, or Unpaid leave.

The blue box shows a worked example before you save: (25 - 10) × 2.00 = 30.00 for 25 minutes late with 10 grace minutes at 2.00 a minute, (60 ÷ 60) × 30.00 = 30.00 for one hour of overtime at 30.00, and a tier line such as Late 35 min → 15.00 USD that updates as you change the grace minutes, the tiers, or the currency. After you press Save pay rule, the page shows the formula of the rule you saved, and each rule in effect has Edit and End.

A new pay rule starts today or later, and earlier days keep the rule already in effect. Lateness and early-leave deductions wait as proposed lines for approval, or are approved at once when Auto-approve deductions is switched on for that rule, and overtime lines wait for approval in Adjustments. On a day of approved leave, lateness and overtime stay at zero. An approved Late arrival or Early leave request waives the matching deduction, and an approved Dispute a deduction voids it.

Paying people and what they see

Pay an employee is the payout screen. Pick the Type (Salary, Commission, Bonus, or Advance), the employee, and the currency, USD or LBP. BOC shows the Amount owed and a Suggested amount, with Accumulated, Not due yet, Available, Paid, and Remaining for that type; press Use suggested amount or type your own, then Pay and confirm. The payout comes from what is due by now, approved deductions are netted, and an advance is paid up to the approved Advance request. Each payment is recorded as a branch expense for that day and listed in Payout history, and the employee and the payroll managers get a notification. The same form sits in the cashier's expenses for people allowed to pay.

Paying needs Pay Salary, Pay Commission, Pay Bonus, or Pay Advance for that type, and the clinic switches on Employee payouts in Business Setup, Config. Reports filters the ledger by From, To, Employee, and Report type (Salary, Commission, Bonus, Deduction, Advance, Overtime), draws a bar for each type, and offers Export CSV for your accountant; it opens for people with Export HR and View Payroll.

In the BOC app for iPhone and Android, managers open HR for Entitlements, Pay rules, Pay an employee, Adjustments, and Ledger, which shares the ledger as a CSV file. Employees see their side in My HR on the phone or the web: a Summary per currency with Available now, Not due yet, Paid, and Remaining, Payments & payslips with each payment's amount, status, and date, and Deductions & disputes with each deduction. From the same page they ask for an Advance, send Request entitlement payout, or Dispute a deduction.

Questions

Does BOC have payroll software for clinics?

Yes. The HR area holds base pay and payday for each employee, pay rules for lateness, early leave, and overtime, adjustments, a payout screen, and a ledger report you can export as CSV, on the web and in the BOC app.

Can BOC pay staff in two currencies?

Yes. Pay an employee lets you choose USD or LBP, and the amount owed and the suggested amount are shown for the currency you pick. My HR shows each currency on its own line.

How are lateness deductions calculated?

From the shift and the pay rule. With 10 grace minutes and 2.00 a minute, 25 minutes late gives (25 - 10) × 2.00 = 30.00. You can use tiers instead, as fixed amounts or a percent of one day's pay, and set a cap. The deduction waits for approval unless Auto-approve deductions is on.

Who approves deductions and bonuses?

People with Manage HR Requests and View Payroll, in Adjustments on the employee's HR file. The person who proposed a line asks a second person to approve it, unless the owner is the clinic's sole payroll editor.

Who can pay an employee?

People with the matching permission: Pay Salary, Pay Commission, Pay Bonus, or Pay Advance. The clinic also turns on Employee payouts in Business Setup, Config. Payouts are made from Pay an employee, the cashier's expenses, or the BOC app.

Can staff see their balances and payments?

Yes. In My HR they see Available now, Not due yet, Paid, and Remaining for each currency, with their payments listed under Payments & payslips and their deductions under Deductions & disputes.

Can I export payroll for my accountant?

Yes. Reports filters the ledger by dates, employee, and type, and Export CSV downloads the same rows as a file. In the BOC app, Ledger shares the CSV from the phone.
