Clinic inventory and product sales

BOC’s Products & Inventory screen tracks every product your clinic sells or uses in treatments, with quantity, batches, expiry date, cost, and sale price for each branch, on the web and in the BOC app. Sales go to the cashier as a product card, stock comes off when the sale is paid, and the screen shows profit, waste, transfers, and your best-selling staff member.

The For sale tab: Wasted, Product Sale Profit, Best staff Rami Nassar, and Transfer Product cards, the stock counters, and product tiles for Aftercare Gel, Expired Serum, Sunscreen SPF 50, and Toner Spray with cost, sale price, and expiry.

What it does

Products & Inventory has two tabs: For sale, for products you sell to customers, and Internal business use, for consumables used in treatments. At the top of For sale, four cards sum up the period: Wasted (pieces and waste cost), Product Sale Profit (profit after waste, with cost and profit, and View more listing each sale), Staff (the best staff member, which opens Best Staff with each seller’s quantity, cost, profit, and total), and Transfer Product (units moved and their cost). Below them, counters show Total Products, Total Units, Low Stock, Out of Stock, Expiring Soon, Expired, and Batch stock, and each counter filters the list when you click it.

Every product appears as a card with its quantity, status tags such as ok, low stock, expiring soon, expired, or out of stock, and its cost, sale price, and expiry date. Search products finds a product by name, and Filter narrows the list by stock (low, out of stock, expiring soon, expired, batch stock, wasted, or transferred), by date, and by quantity (out of stock, 1–5 units, or more than 5). The same panel sets the Expiring Soon window to 1 week, 30, 60, or 90 days. The toolbar also holds Transfer, Sell product on For sale, Use product on Internal business use, and Add Product.

Selling is quick. Sell product opens a window with the customer, picked from your customer files, the staff member who sold, one or more products with quantities, and an optional Request Discount percentage. When you confirm, the product is added to the cashier and is ready to collect. BOC holds the units for that sale, deducts them from the branch when the sale is fully paid, and puts them back if the visit returns to unpaid, is refunded, or the product is returned in full or in part. Only stock that is in date and available can be sold.

Batches, alerts, and who sold the units

The product form has an image, the name, the purpose (For sale to customers or Internal business use), a stock block with quantity, expiry date, and a Low stock number, and a pricing block with cost and sale price, plus Waste, Sell product, Use product, and History. Add batch creates batch A, B, and so on, each with its own quantity and expiry date, and stock is drawn from the nearest expiry first. When a sale draws from several in-date batches you set the quantity from each one, a write-off uses Nearest expiry or the batch you pick, and internal use starts from the earliest batch. History lists every movement with its quantity, who sold, used, or added it, the cost, the batch, and the date.

The Low stock number is your alert line: a notification is sent when the quantity reaches it or goes below it. BOC also alerts the team when a product runs out, is expiring soon, or has expired, in the notifications inbox and as a push notification on the phone, and products close to their date show as expiring soon on the card and in the counters. The notifications inbox has its own filters for Inventory, Sold products, Internal use, and Transfers.

Every sale carries Sold by. On the cashier, a product card with an empty seller shows Unassigned, and the assign button sets the right staff member. The Best Staff window ranks the sellers for the period with units, cost, profit, and total, and each staff file has a Products tab with the number of products sold, the income, and every sale.

Internal use, waste, and transfers

On Internal business use, Use product records the staff member, the product, the batch, the quantity, and a note, and the cards show Internal Product Use (used pieces and used cost) and Staff who used. The same total appears on the dashboard’s Internal Product Use card and on the cashier’s Internal Product Use tab, with its daily figure.

Waste, inside a product, writes off stock with a batch, a quantity, and a note such as expired or damaged, and expired units can be written off too. The pieces and their cost go to the Wasted card and to the Waste sheet of the Excel financial report. Transfer moves quantities of one or more products from one branch to another in a single step, and the Transfer Product card lists every move with the product, the quantity, the two branches, who moved it, and when, with the total cost on the card. Product profit from sales feeds the dashboard’s Product card and the profit statement.

Permissions follow the work: viewing, adding, editing, and deleting products, transfers, write-offs, and product history each have their own permission, and selling on the cashier and recording internal use have theirs, separately for sale products and internal-use products. The BOC app has the same inventory screen, with filters, transfers, Sell product, Use product, new products with a photo, batches, waste, history, and the staff file Products tab.

Questions

Does BOC have inventory management for clinics?

Yes. Products & Inventory tracks quantity, batches, expiry, cost, and sale price per branch, for products you sell and consumables you use. It alerts you at low stock and near expiry.

How do I sell a product to a patient?

Use Sell product on the inventory screen or Buy product on the patient’s cashier card. Pick the customer, the products and quantities, and the staff member who sold them, then collect payment on the cashier.

When does stock go down?

When the sale is fully paid. BOC holds the units while the sale is unpaid, deducts them on payment, and returns them to stock if the visit goes back to unpaid, is refunded, or the product is returned.

Can I track batches and expiry dates?

Yes. Each product can have several batches with their own quantity and expiry date, stock is drawn from the nearest expiry first, and the counters show what is expiring soon and what has expired. You choose whether Expiring Soon means 1 week, 30, 60, or 90 days.

Can I see which staff member sells the most?

Yes. The Staff card names the best staff member for the period, and its Best Staff window lists every seller with units, cost, profit, and total. Every sale records Sold by.

Can I move stock to another branch?

Yes. Transfer moves quantities of one or more products from one branch to another in one step, and the Transfer Product card lists every transfer with the products, branches, who moved them, and when.

How do I record products used in treatments?

Set the product’s purpose to Internal business use and record each use with Use product. BOC shows the used pieces, the used cost, and who used them.

Can I manage inventory from the mobile app?

Yes. The BOC app has the full Products & Inventory screen: filters, transfers, selling, internal use, new products with a photo, batches, waste, and product history, with the same permissions as the web.
