Dual currency and split payments for clinics

BOC’s dual currency setting lets a clinic keep its prices in one currency and take payment in a second one, such as USD and LBP, at the official daily rate, on the web and in the BOC app. Any bill can be split across cash, Visa, wallet, and both currencies, and the cashier, expenses, and dashboard show each currency in its own column.

Business Setup → Config with USD as the first currency, LBP as the second, and an official daily rate of 89500 LBP per USD, above the session defaults and module switches.

What it does

The currencies live in Business Setup → Config, and in Regional & Currency in the BOC app. First currency is where every price is stored. Second currency is optional and can be any of about 155 world currencies, for example LBP beside USD, or USD beside EGP. Official daily rate (USD → LBP) is synced automatically from the official market rate for the selected second currency, so nobody types it by hand, and the same rate appears as a chip in the cashier and dashboard headers, such as 1 USD = 89,500 LBP.

Changing a currency later is handled for you: BOC shows what will be converted and asks you to confirm, then changing the first currency converts saved amounts once at the official rate, and changing the second converts the amounts recorded in that currency once. Saved prices and past amounts move to the new currency together.

At the cashier, each payment line has its own method and currency. A payment taken in the second currency settles the bill in the main currency at today’s rate, and BOC keeps the original amount, the currency, the rate, and the converted amount on the payment. Add another payment option adds more lines, so one visit can be paid partly in USD cash and partly in LBP by Visa, and the drawer shows the total and what remains.

Two currencies on every total

The cashier summary shows Paid (USD) and Paid (LBP) side by side, expenses in each currency, and Net after expenses for each currency, and every visit card shows what was paid in each currency. View more adds the total after deducting expenses converted to the main currency at today’s rate, so the drawer can be counted in both currencies and still read as one figure.

On the dashboard, Total of Available has a card per currency, the Expenses card shows each currency, and the Appointment Breakdown tables by staff, service, and resource have a total column for each currency. Expenses by Day lists the amount in each currency for every date. Expenses themselves can be paid in either currency, and a second-currency expense is converted at today’s official rate when it is saved.

Payroll, reports, and the BOC app

Staff payouts in HR have a currency field with USD and LBP, so a salary, commission, bonus, or advance can be paid in either one. The Excel financial report from the dashboard keeps the original amount and original currency of every payment beside its amount in each currency, and its summary sheet records the exchange rate, so your accountant sees exactly what was taken in each currency.

The BOC app works with both currencies too. Each payment line in the app’s cashier has its own currency, the rate chip shows today’s rate, and Regional & Currency holds the first currency, the second currency, and the synced official daily rate.

How it works in BOC

  1. Set the currencies. In Business Setup → Config, choose the first currency and the second currency, then save.
  2. Check today’s rate. The official daily rate fills from the official market rate and shows in the cashier and dashboard headers.
  3. Take payment in either currency. In the payment drawer, pick the currency on each payment line.
  4. Split the bill. Use Add another payment option to mix methods and currencies on one visit.
  5. Read both currencies. Check paid, expenses, and net for each currency on the cashier and the dashboard.
The cashier payment drawer for a 40.00 USD visit: two payment lines, 20.00 USD in cash and 1,790,000 LBP in cash, each with its own method, amount, and currency, with the day's rate of 1 USD = 89,500 LBP on the cashier.
Regional & Currency in the BOC app: USD as the first currency, LBP as the second, the official daily rate of 89500 synced automatically, and the default session time of 60 minutes.

Barbershops Cash in two currencies is counted per currency at the end of the day.

Private coaches Clients pay a training pack partly in dollars and partly in local currency, and the coach sees each currency at the end of the day.

Questions

Can I take payment in two currencies?

Yes. Set a second currency in Business Setup → Config, and every payment line at the cashier lets you choose either currency. Payments in the second currency settle the bill at today’s official rate.

Where does the exchange rate come from?

BOC syncs the official daily rate automatically from the official market rate for the selected second currency, so nobody enters it by hand. It shows on the Config screen and as a chip in the cashier and dashboard headers.

Can one bill be paid in two currencies?

Yes. Use Add another payment option in the payment drawer to add a line in the other currency or with another method. The drawer keeps the total and the remaining amount up to date.

What happens if I change the first currency?

BOC shows what will be converted and asks you to confirm, then converts the saved amounts once at the official rate, so prices and past records stay consistent in the new currency. Changing the second currency converts only the amounts recorded in it.

Can expenses and staff pay be in the second currency?

Yes. Expense payment lines let you choose either currency, and a second-currency expense is converted at today’s official rate when it is saved. HR payouts can be paid in USD or LBP.

Which currencies are supported?

The currency lists cover about 155 world currencies, including USD, EUR, LBP, EGP, SAR, and AED. You pick one first currency and one optional second currency.
