Session packages with expiry, renewal, and partial payment

BOC’s packages let your clinic sell a set of sessions, such as six laser sessions, with one price, an expiry, and a renewal price, on the web or in the BOC app. Clients pay in full or in parts, each session is booked as a normal visit, and BOC counts the sessions used and left on every booking.

Edit Package for Laser course — 6 sessions: 180 expiry days, Partial payment, Keep the session, Multiple future bookings, Laser Hair Removal sold as Packages only, and Minimum amount with 160 USD set for Visit 1 and Visit 2.

What it does

Turn on the package system and Package Settings appears in the menu. Each package card shows its name, who created it, the price in your first currency, the duration in days, the number of sessions, the payment type (Full or Partial), the booking rule, and the services inside it, with buttons to Edit, View Clients, Add to branch, Disable or Enable, and Delete; a disabled package carries an Inactive badge. In the demo clinic, Laser course — 6 sessions costs 480 USD, lasts 180 days, and is paid in parts.

A package is built around services. Pick a service, then add one or more options for it, each with its own name, staff, resources, and variants, from 1 to 60 sessions for every variant, and its own price and renewal price. A laser course can hold 6 sessions of Full Body, 6 of Half Legs, and 6 of Bikini Line under one price. Add another option gives the same service a second set of variants or resources, still on the same package rules.

The booking rule sets how the service sells: Packages only, or Packages and individual sessions. Future bookings allow One future booking at a time or Multiple future bookings, so you decide whether a client can book the whole course ahead or one visit after another.

Renewal, visit amounts, and subscribers

Each package option has a Renewal price. When all package sessions end and staff book the next visit, BOC shows that the package is finished and offers Renew package at that price or Pay next session only, and in a package with several options, each option can be renewed on its own once all its variants are finished. A partial package also has a Partial payment rule with an amount for Visit 1, Visit 2, and as many paid visits as you add. With Fixed amount, the client pays exactly the amount written on that visit. With Minimum amount, the client pays at least that amount and may pay more. In both cases, if the remaining balance is smaller, they pay the remaining balance.

Cancel / no-show sets what a missed visit costs: Keep the session or Forfeit the session. With Forfeit the session, a Postpone duration and a Pause duration, in minutes, hours, or days, set a window before the visit: when a visit is postponed or paused inside it, staff choose which options and variants count as a used session. View Clients opens the subscriber list for a package: each client with their status (Active, Completed, Expired, or Cancelled), sessions taken, start and expiry dates, and every visit with its total cost, paid, remaining, and visit number. Cancel package stops the remaining sessions, cancels that package’s upcoming booked visits, and leaves the payments as they are.

Booking sessions and keeping prices fair

When staff add an appointment for a client who holds a package for that service, BOC offers the package with the session number, the sessions already used, the sessions left, and the expiry date, and Create session books the visit as the next session; a client with an unfinished package can also start a new one. If the package allows one future booking and a visit is already on the calendar, BOC shows that date and a Take me there button. A visit after the package expiry date is caught at booking, and the team receives a Package expiry notice in the inbox a day before a client’s package ends.

Each client keeps the price they bought at, and on a package already in use, session counts can be changed only by the owner or a Full Access role. Disable stops new sales, and people who already bought the package keep their sessions. Delete removes the package from sale, and booked appointments keep their prices. Add to branch makes the same package available in this branch only, in all branches, or in the branches you choose. Viewing, adding, editing, and deleting packages are separate permissions.

The BOC app manages packages too. From a phone, a manager lists, creates, and edits packages with every field, disables or enables them, deletes them, adds them to branches, and opens View Clients, and the desk books package sessions with Renew package, Pay next session only, and Take me there, exactly as on the web.

How it works in BOC

  1. Turn on packages. In Business Setup, Config, switch on Enable Package System. Package Settings then appears in the menu.
  2. Create the package. Press Add Package and set the name, expiry days, payment, cancel / no-show rule, and future bookings.
  3. Add services and sessions. Pick the service, its staff, resources, and variants, the sessions for each variant, the price, and the renewal price.
  4. Set the paid visits. For a partial package, choose Fixed amount or Minimum amount and enter the amount for each visit.
  5. Book the sessions. Add an appointment for the client and choose the package option. BOC counts the sessions used and left.
  6. Follow subscribers. Use View Clients to see each client’s status, sessions taken, visits, and payments.
The Services part of the package: the Laser Hair Removal option at 480 USD with a renewal price of 420, and 6 sessions each of Full Body, Half Legs, and Bikini Line, then Add another option and the branches choice.
Edit Package on a phone: the package name, expiry days, Partial payment, the cancel and booking rules, and the visit minimums.

Questions

Can I sell session packages in BOC?

Yes. Turn on the package system, create a package with its services, sessions, price, expiry, and renewal price, and staff book each session as a visit. BOC counts the sessions used and left.

Can clients pay for a package in installments?

Yes. Set Payment to Partial and choose a Partial payment rule. You write an amount for each paid visit, as a fixed amount or a minimum amount, and the cashier tracks due, paid, and remaining.

What happens when a client misses a package session?

The Cancel / no-show rule decides: Keep the session or Forfeit the session. With Forfeit, a postpone and a pause duration set a window before the visit, and when a visit is postponed or paused inside it, staff choose which sessions count as used.

How does package renewal work?

Each package has a renewal price. When all sessions are used and staff book the next visit, BOC offers Renew package at that price or Pay next session only.

Can I see who bought a package?

Yes. View Clients lists every subscriber with their status, sessions taken, start and expiry dates, and each visit with its cost, paid, and remaining. You can also cancel a client’s package there.

What happens to existing clients if I change or disable a package?

Clients keep the price they bought at. Disabling stops new sales while current subscribers keep their sessions, and deleting keeps the prices on appointments already booked.

Can one package cover several body areas or variants?

Yes. A package option can include several variants, such as Full Body, Half Legs, and Bikini Line, each with its own number of sessions, plus the staff and resources allowed.

Can I manage packages from the mobile app?

Yes. The BOC app creates, edits, disables, deletes, and adds packages to branches, opens View Clients, and books package sessions with the same renewal choices as the web.
