Smart appointment calendar for clinics and salons

BOC's smart calendar is the shared appointment book of your clinic or salon, where every visit shows the client, the price, the staff member, the service, and the room or device. Your team switches between day, week, month, and list views on the web, and day, list, and month in the BOC app, filters by staff, service, status, or gender, and sees by color who is waiting, in the room, done, paused, or postponed. Each booking and each drag-and-drop move is checked against the people, rooms, and limits already on the book, and the calendar refreshes when a colleague changes a visit.

Monday 26 October 2026 in day view: each card shows the client and price, then the staff member, service, and room or machine. Black cards are done, grey ones are paused.

What it does

Open Calendar and BOC shows today for the branch you have open, from the first opening hour to the last, with a red line at the current time. Each card reads like a line in your appointment book: “Sara Haddad - 61.75 USD”, then “Dr. Karim Youssef - Laser Hair Removal - Diode Laser B”. Month shows each day's visits, and a link on a busy day opens its full list. List lines up the day's visits with their start and end times, which reads well on a phone, and a click on the title jumps to any date.

Four filters sit above the grid: Staff, Service, Status, and Gender. Pick one doctor and the day shows only that person's visits. Pick a status, such as Available, Paused, Postponed, or Done, to see for example every paused visit of the week. The book also follows the role: depending on their role, a practitioner sees only their own visits, while admins and managers see the whole team.

Click any visit and the appointment drawer opens on the right. Appointment Info holds the date, service, resource, staff member, and price before discount, the Room Workflow buttons Waiting, In Room, and Done, the Appointment Status buttons Available, Paused, and Postponed, and the variants with their session numbers. Billing & Discount holds what is due and what was paid.

Colors that show where each client is

A visit takes the color of its service, or of its room or device when the service is set to Calendar color from: Resource in Services and Pricing. As the day moves, the color follows the room workflow: yellow while the client is waiting, pink while they are in the room, and black once the visit is done. Paused visits turn a faded grey and postponed ones a pale yellow, and both stay on the calendar, so you still see what was planned. Hover over a visit to read its service, resources, staff, VIP flag, and price before and after discount, plus a live Waiting time or In room time while the client is waiting or in the room.

The same phases show at the cashier and in the Dr. Room, so the receptionist, the doctor, and the cashier all read one picture of the day. When a colleague books, moves, or updates a visit, the open calendar refreshes by itself, so everyone works from the same live book. Each business can also pick its own calendar background color in Business Setup → Config.

Clash checks and drag-and-drop moves

Before a visit is saved, BOC counts the open visits at that time that share its staff member, its resource, or its service. When the count reaches the limit, the booking stops with “This time is full. Choose another time.” The limit is one visit per time by default, set as Default Max Visit Per Session Time for All Services in Config, and Booking Capacity rules can raise it for a service, a room, or a staff member. Appointments also start inside the opening hours of the branch.

Staff with the Drag and Drop Appointments permission can drag a visit to a new time or day in day and week view, or stretch it to change its length, and BOC runs the same check on the new slot. In the BOC app, visits are dragged in day view. Visits that are waiting, in the room, done, or already paid stay in place, so the record of the day stays true. Moving a visit to a past date is kept for people with Edit Past access, and BOC asks them to confirm first. Once a day has closed, changing its visits needs the Edit Past Appointment permission for that status, so past days stay as they were recorded.

When you open a day that has passed, staff whose role has Pause All Appointments see a red Pause Today button, on the web and in the BOC app. One click moves every visit from that day still marked Available and still unpaid to Paused for the branch. Those visits then wait on the Paused Appointments list, with their cost, until someone rebooks them.

How it works in BOC

  1. Open the calendar. Choose Calendar in the menu. BOC opens today in day view for the branch you are working in.
  2. Pick a view. Use month to spot busy days, week to plan ahead, day to run the floor, and list for a time-ordered list.
  3. Filter the book. Choose a staff member, service, status, or gender at the top to narrow the grid.
  4. Open a visit. Click a card to open the appointment drawer, change the room workflow or status, and check the bill.
  5. Move a visit. Drag the card to a free time. BOC checks the staff member, the room, and the limits before it saves the move.
  6. Close a past day. On a day that has passed, press Pause Today to send that day's missed visits to the paused list.
The list view for Monday: every visit of the day in time order, from 7:00 AM, each with the client and price, then the staff member, service, and room, in its service colour.
The day view filtered to Dr. Karim Youssef: his laser visits through the day with their machines, Diode Laser B, IPL Room D, and Nd:YAG C.
Today opened from the month view on a phone: every visit in time order with its status, Available or Paused, then the client and price, the staff member, service, and room.

Who it is for

Clinics Reception sees each doctor's day and who is waiting, and the doctor sees the same visit turn pink when the patient walks in.

Dental clinics Each card names the chair, such as Dental Chair 1, and BOC keeps each chair to one patient at a time.

Dermatology and laser Laser visits show their machine, like Diode Laser B or IPL Room D, and the calendar can take each machine's color.

Beauty salons Filter by stylist to see one person's day, and drag a color service to a later slot when the client runs late.

Spas Rooms like the Spa Massage Room appear on every card, so the next treatment starts when the room is free.

Barbershops List view on a phone gives each barber the next clients in time order.

Physiotherapy Week view helps plan a series of sessions for the same patient across the week.

Sports clubs Coaches appear as staff and studios as resources, so each booking shows who and where.

Private coaches Personal trainers see the week's sessions in list view on the phone and drag a session to a new time when a client asks.

Questions

Does BOC have a clinic appointment calendar?

Yes. BOC's Calendar shows every visit of the branch in day, week, month, or list view, with the client, price, staff member, service, and room on each card. It runs in the browser, and the BOC app for iPhone and Android has the day, list, and month views.

How does BOC prevent double booking?

BOC checks each new or moved visit against the open visits at that time that share the same staff member, room or device, or service. With the default limit of one, the second booking stops with “This time is full. Choose another time.” You can raise the limit per service, resource, or staff member in Booking Settings.

Can I drag and drop appointments in BOC?

Yes. Staff with the Drag and Drop Appointments permission drag a visit to a new time or day in day or week view, and BOC checks the new slot first. Visits that are waiting, in the room, done, or paid stay fixed.

Can clients book online by themselves?

Your team books each visit from the desk or the BOC app. The Add Appointment window in the client file shows free and full times while you book.

What does Pause Today do?

On a day that has passed, it moves every visit still marked Available and unpaid to Paused for the branch. They appear on the Paused Appointments list, ready to rebook.

Does each branch have its own calendar?

Yes. The calendar shows the branch you have open, with that branch's opening hours. Switch branch from your profile menu to see the other book.
